Community outreach email rules
How Kintrae should contact organizations respectfully while building and correcting the directory.
Outreach should be one-to-one, source-based, and easy to stop. Natural-person marketing must not be sent without the required prior consent.

Before sending
- Record the source of the contact address and whether it appears to belong to an organization, role address, or natural person.
- Classify the message as civic research, service communication, or marketing before sending.
- Use public general or role addresses where possible. Treat named or personal addresses with extra care.
- Do not send natural-person marketing unless the required prior consent has been recorded.
Message rules
- Identify Kintrae and why the person or organization is being contacted.
- Send individually or with recipient addresses hidden from each other.
- Include a working stop-contact route in every outreach message.
- Avoid sensitive inferences, hidden-location details, or unnecessary personal data in email bodies.
Objections and retention
Objections should be honored promptly. Keep only the minimal suppression record needed to avoid re-contact. Unresponsive outreach leads should be deleted or reviewed after the retention period in the retention schedule.
